The IRIS Training Environment exists to allow new users to familiarize themselves with referral processes before using the Production Environment. Users access this site most often using generic training logins that are updated monthly. These can be found in the folder New User Training HW & Instructions.
New User Requests - Training
In general, we do not create Training accounts for users unless directed by the System Manager(s) or the Implementation Coordinator for the community. If a user needs access to the Training Environment, default to sending them the New User Training Materials canned response. This contains a link to the generic training logins and activities to guide their exploration of the system.
Unlike the Production Environment, there are not typically Primary Contacts assigned to organizations. Therefore, user access to the Training Environment should be approved by the System Manager(s). If someone requests adding a user to the Training Environment:
- [Optional] Consult with the Implementation Coordinator if further context is needed (reminder that Implementation Coordinators for each community can be found on the IRIS Communities Overview airtable).
- Confirm the user access request with the System Manager(s) listed in the airtable IRIS Communities Overview, on the tab “Leadership Teams.
- One the user's access is confirmed by the System Manager(s), add the user’s account to IRIS and provide them with access to the appropriate organization.
- Send the New User Training Materials canned response to the user and System Manager(s).
Unlocking Training Accounts
For security purposes, IRIS users are locked out of their account after 5 login attempts using an incorrect password. If you receive a request to unlock a user account and cannot find them as a team member in the Production Environment, check the training environment team member list.
For Training account unlocks, please login to the IRIS Training Environment Admin Portal to access user Training accounts.
- If the user’s account is Active & Locked, and the email that they are requesting from is the same as it is in IRIS, you can unlock their account. For Training Environment requests, send the Unlock User – Training canned response.
Reactivating Training Accounts
If you receive a request to reactivate a Training account, please check to ensure that the user is a member of a Local Leadership Team (System Manager). If they are, you can proceed with the reactivation. If not, please check with Help Desk leadership on how to proceed.
