When new organizations are onboarded to IRIS they must read and sign the Responsible Data Use Agreement (RDU). This agreement indicates that they understand the terms and conditions of using the IRIS system, as well as the handling of the sensitive HIPAA covered data therein. A user at each organization is assigned as the party responsible for the RDU and is the person responsible for signing the agreement, as well as holding individuals within their organization to the standards that are set out in the agreement. 

If for some reason, the agreement does not get signed, the organization cannot send or receive referrals. It may be necessary for someone on the help desk to resend the agreement to the person if they either lost it or never received it for whatever reason. Please see the instructions below on how to resend the agreement.

Steps needed to resend the RDU 

  • Log into the IRIS user-facing site as an Admin.
  • If necessary, switch your access to the appropriate Community to locate the organization. 
  • Click on the Partner Organizations menu on the left side-bar. 
  • Locate the organization that needs the agreement resent and click on the name of the Edit button on the right side of the row. Any organization with an unsigned agreement will show a Pending status. 
  • Scroll down to the Responsible Data Use information on the Update Your Organization’s Information page. 
  • Below the Responsible Data User contact email field, you will see a link to resend the agreement. (i.e. Resend data agreement to testuser@veryrealemail.com
  • Click this link to resend the agreement.
